Dear Ms. Torres,
My department has received your complaint concerning a rude employee you encountered on a recent shopping trip. We are committed to resolving this matter quickly and to your satisfaction. To do so, we need to know the day and time of the incident as well as the section of the store you were in and a physical description of the employee if possible. We would like to address the issue promptly, so please assist us in this effort. As soon as the above information is received, I will thoroughly look into the incident and talk to the person in question directly to determine whether or not disciplinary action needs to be taken.
